Updated

Form W-2c, Corrected Wage and Tax Statement, is used to correct information on a previously filed Form W-2 when the correction rules require it. It helps the employer report corrected information to the Social Security Administration and provide the employee with an accurate record. It is not simply a replacement copy of an unchanged W-2.

Fix the underlying record as well as the form

A year-end discrepancy may begin with an employee identifier, a payroll code, an omitted payment, or an imported balance. Determine the source and scope before generating a corrected form. If the same setup affected several employees, correcting only the first reported form leaves the broader issue unresolved.

A W-2c does not automatically correct quarterly employment-tax returns or state filings. The payroll team and tax adviser should review whether related corrections are necessary. Keep the original report and the correction trail so the figures can be reconciled later.

What employers should review

  • Verify the reported problem against payroll registers, employee records, and the form originally filed.
  • Identify the affected year, fields, employees, and any related federal or state reporting issues.
  • Use the current W-2/W-2c instructions to determine the correct filing procedure and employee delivery requirements.
  • Coordinate any related Form 941-X or state correction with the responsible tax professional.
  • Retain submission evidence and fix the source configuration so the error does not recur.

Employer example

After a provider transition, an employee reports that annual wages do not match the payroll history. The employer reconciles both systems and finds an imported balance error. It reviews whether other employees were affected, prepares the required corrections with its provider, and communicates clearly about which document replaces the earlier information.

Frequently asked questions

Does an employee who lost a W-2 always need a W-2c?

No. A request for another copy of an unchanged form is different from correcting filed information. Follow the applicable reissue instructions.

Does a W-2c automatically update the employee's tax return?

No. The employee may need advice from their own tax preparer about the effect of the correction on a return already filed.

Should payroll overwrite the old figures without retaining them?

No. Preserve the original and corrected records, the reason for the change, and evidence of filing and delivery. That history supports reconciliation and future questions.
